Community Calendar Submission Form As part of our mandate to serve our local communities, WEOS regularly airs short announcements regarding non-profit groups & organizations and their events. Use the form below to submit your event for consideration.
Full instructions, tips and tricks are below the form.
Please fill out as many fields as you can - it helps us craft your announcement. Don't forget to include how to pronounce names, locations, etc.

RULES for SUBMISSION to the COMMUNITY CALENDAR Use the webform above for all submissions to the Community Calendar. Submissions via e-mail, phone or fax are not accepted. Please note that we do not confirm submissions !
If you do not have access to a computer, you can mail your submission vis USPS to:

- Non-Profit vs. For-Profit: The Community Calendar is for not-for-profit organizations only! Individuals, and for-profit companies must purchase underwriting.
- Timing and Number of Announcements: Community Calendar announcements air at random times during the day. The time and frequency of announcements is not guaranteed. If you need your announcement to air a specific number of times and/or at specific times during the day, you must purchase underwriting.
- Script of Announcements: The script for every announcement is written by WEOS staff. Radio-ready scripts are encouraged, but we cannot guarantee we will use them.
- Submit THREE WEEKS in Advance: We recommend you submit your announcement at least 3 - 4 weeks in advance. This gives us time to write the script and record the announcement, and still allow a reasonable amount of time for your announcement to air.
- Max of 30 Seconds: All announcements are limited to 30 seconds of information, maximum.
- Remember - This is Being Spoken, not Read: Make sure your information is easy to be spoken, and heard, on the air. This is especially true of website addresses. www.yourgroupname.com is good. www.your_group_abbrv-name.com/eventsite?index.php is bad. If necessary, make use of TinyURL to create a short website address with a custom alias (e.g. tinyurl.com/youreventname) that's more ideal for radio.
THREE THINGS the COMMUNITY CALENDAR ANNOUNCEMENTS CANNOT HAVE
- No Price Information: Announcements cannot have ANY price information. That includes mentioning that an event is free, or any mention of a sale/discount or similar inducement.
- No "Calls to Action": Announcements cannot specifically tell listeners to do something. "Come to our event!" "Call this number now!"
- No Fundraiser Info: By FCC law, we cannot announce fundraising information, or announcements about fundraising events for other institutions.
Program/Show Proposals (HWS students) Music Shows: WEOS is primarily an NPR news/talk station. Accordingly, all HWS students interested in doing a music show should inquire at WHWS. See www.whws.fm for details.
Talk Shows: Due to FCC concerns, we generally do not allow talk shows on WEOS or WHWS. But there are exceptions if a student presents a sustainable plan for a talk show. This plan must include three aspects:
- The plan must accommodate for a time when the student can no longer be involved. That could be due to finals, breaks, or graduation, but the show has to have a framework that allows it to exist after the student is not a part of WEOS.
- An HWS professor must be involved to serve as a mentor and producer of the show.
- The show must be something of interest to the entire Finger Lakes community, and should not duplicate any offering that WEOS already has.
Please note: call-in talk show proposals are almost never approved. We recommend you focus more on a newsmagazine style or an "interesting stories" style. Mixing of talk and music is possible, but not recommended.
Program/Show Proposals (non-student / community volunteer) If you are the producer of an official NPR, PRI or APM program...or just an independent producer of a public radio-style show...and you'd like WEOS to consider airing your show, please send a short e-mail to the General Manager. Generally we are a news/talk station and thus we are not interested in music shows.
We recommend these guidelines when pitching your show:
- You've got five minutes, max, to convince us. Make it short and sweet. Something that's one sentence long and puts it all into context is great: "It's comedy-based in the same way Car Talk is, but instead of cars it's about pets." Or, "It's an interview show similar in style to Fresh Air, but not really any music-related stuff."
- It's a radio show. You better have one or two audio clips, a few minutes each (max) that are your best work.
- If you don't have a good website, we're going to assume you don't have a good show.
- If you don't have an easy way for us to get your show, forget it. In order of priority:
- Shows distributed via ContentDepot automatically get priority.
- Shows distributed via PRX.org may still be considered.
- Shows distributed via podcast better be worth the hassle of downloading and adding to our automation every day/week/month.
- Shows that require us to go out and download them manually will be ignored.
- Awards you have won are not something to be ashamed of! Show some pride and list them!
- Adding your show means dropping someone else. If we're going to do that, we need to know:
- That you've got staying power. Do you have a podcast of the show that's been regularly updating for at least a year? If not, come back later - you're not ready.
- That you've got broad appeal. If you've already got radio affiliates, make sure you mention that.
- That you've got business sense. Do you have any fiscal sponsors? Track record of successful grant applications?
- Don't e-mail / call us repeatedly about your show. That's just annoying. If we're going to add your show, trust us, we'll call you. If we're not going to add it, nothing you can do will change our minds.
- While not always true, typically June 1st to August 1st are the "summer months" when things may be somewhat quieter and thus we may have more time to consider proposals.
- For your information, our General Manager has blogged a list of his personal preferences in what he likes to see in engineering a public radio show and producing a public radio show. Use at your own risk.
Submitting Music for Airplay on WEOS or WHWS All music to be submitted must be in standard Audio CD format and must be mailed to our studios. Put "Attn: Music Director" in the address. If your music fits a specific genre, include that in the address as well; it helps us sort new music much quicker. If you have spoken with a specific music director and want to put their name in the address, we encourage that - but please also put the words "Music Director" in there as well; our music directors are students and there is an understandably high staff turnover every few years.
We do not accept submissions in person. That's really creepy...don't do it!

We get a tremendous amount of music coming in the door every day, and we allow our DJ's near-total discretion (within general guidelines) in what music they play. Accordingly, we cannot make any promises as to when...or even if...your submitted music will be played.
Our music programming is primarily alternative. Other genres will be accepted for submission but please understand there is much less likelihood of airtime.

Aaron Read (General Manager) read@hws.edu x3811 Aaron is ultimately responsible for the entire station. He manages the staff, plans the long-range goals of the station, liaises with the Colleges and local community, provides engineering and operations support, oversees the sports operations and remote broadcasts, organizes the program schedule, and occasionally washes the windows.
He graduated from Boston University and spent ten years working for public radio outlets WBUR, WGBH, Living on Earth and The Infinite Mind. During that time he also spent entirely too much time keeping several college stations up and running. He relishes his "jack of all trades" reputation more than he probably should.
Greg Cotterill (Station Manager) cotterill@hws.edu x3186 Greg manages WEOS's underwriting and fundraising efforts and assists in virtually every aspect of keeping the station running, including news reporting, operations, music organization, student management and promotions.
He received
his bachelor’s degree in radio and television from Syracuse
University’s Newhouse School of Public Communications, and has worked
at local radio stations ever since. On campus he also serves as an HWS
Common Ground instructor.
